Automating enquiries, quotations and follow-up
A useful workflow starts when an enquiry arrives and ends with a clear decision. The aim is to avoid lost enquiries, respond consistently and know the next step.
One place for enquiries
Collect forms, email and permitted sources in a CRM or register. Keep the source, requested service, contact details and owner. Define duplicate handling.
Qualification and routing
Use questions about needs, budget and timing. Rules can assign ownership. AI may classify text, but is not required for a well-defined flow.
Quotation and follow-up
Calculations use approved rules. Complex quotes may require human approval before sending. Follow-up must respect context, recipient preferences and applicable communication rules.
Measure the process
Track time to first response, unassigned leads, quotations and stage conversion. Compare before and after implementation; automated message volume is not sales.
